Provides prompt, efficient and service-oriented telephone reception and greeting services for the Corporate office. Responds quickly and courteously to tenant and client/owner concerns and questions, and takes prompt action to solve problems and/or document and convey tenant or other requests to the appropriate individual(s) over the phone. Manages the daily schedule and calendar for the appropriate staff by reviewing and preparing for planned meetings and events, gathering materials, documents, and other materials needed, and being available as needed for follow-up and assistance during the scheduled event. Follows established policies and procedures by monitoring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s). Practices proper safety techniques in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s). Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes, research and/or subscribing to the internet or other professional publications, or utilizing other appropriate method(s) to obtain business and professional information, and applies knowledge and practices. Coordinates collection and preparation of operating reports. Collects and prepares billings for various services. May code bills for payment. Experience, Training and Education required: Two to three years experience providing clerical and administrative support; High school education or equivalency - some college preferred; Ability to work with little supervision, maintaining confidentiality and professionalism; Willingness and ability to learn additional skill sets, software programs, and tasks as required.
