The Administrative Assistant (AA) is a professional responsible for assisting with fiscal, human resource, compliance functions and general office functions. The AA will support the VP-Chief Operations Officer, Fiscal, Compliance, and operations staff through assisting with general fiscal, human resource, file management, and general office duties. The AA will also lead the Employee Activities Committee and facilitate and lead activities and functions.

The Workforce Alliance of South Central Kansas Operates Workforce Centers in El Dorado, Wichita, and Wellington. Workforce Centers assist employers with labor exchange functions and assists job seekers with job searches and upskilling. This position will be working onsite at correctional facilities primarily in Sedgwick County but will occasionally travel to other parts of the state.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Orders and maintains office supplies
  • Assist with preparing accounts payable and receivable
  • Assist with program fiscal record keeping and processing
  • Assist with program payroll and fiscal duties
  • Gathers information for reports and produces monthly reports as directed
  • Supports the compliance functions by uploading and maintaining records for compliance activities
  • Maintains room reservations and guides room set up for events
  • Assists staff and contractors with assembling records and providing reports
  • Leads Employee Activities Committee events and functions
  • Assist with hiring process
  •  Screening applications
  • Posting positions
  • Setting interviews
  • Supporting supervisors during interview process
  • Assist with On Boarding
  • Makes travel arrangements for staff
  • General office operations support
  • Answers and directs phone calls for breaks/lunch and during times of events, etc
  • Implement strategic priorities as directed

MINIMUM REQUIRED SKILLS AND EXPERIENCE:

  • Associate’s Degree or relevant experience required
  • Ability to stay on task and be a problem solver
  • Self motivated
  • Dependability- is punctual and maintains regular attendance
  • Ability to train and give presentations to large and small groups
  • Maintain Electronic Files
  • Takes initiative and provides creative ideas to improve the operations of the organization
  • Highly knowledgeable of virtual meeting tools: Zoom, WebEx, Google Meets
  • Strong written and oral communication skills
  • Ability to make Decisions for the organization that are in the best interest of the organization
  • Ability to work teams and community effectively
  • Must be able to manage multiple tasks simultaneously
  • Positive Attitude and ability to maintain professional working relationships
  • Respond timely to emails and VM’s
  • Ability to conduct day travel on occasion across south central Kansas to support Auxiliary office locations
  • Bi-lingual

Must be able to lift up to 25 pounds and operate general office equipment.

Will spend 90% of time working using a computer or other electronic device

While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. Most all work will be completed indoors in climate-controlled office buildings.

The noise level in the work environment is usually moderate.

Job Type: Full-time

Pay: $14.50 - $18.50 per hour

Expected hours: 40 per week
